Excel or your own business system?

By Thouseef Hamza, Doha · Updated 21 October 2026

If one or two people use the file, the data is small and nothing breaks, keep Excel. It costs little and everyone knows it. When several people edit the same sheets, the copies stop matching, nobody knows who changed what, or you want today's numbers on your phone, it is time for your own system. Built around your current sheets, it keeps the way you work and moves your existing data across.

MistakesWrong entries are caught as they are typed.A broken formula or a deleted row can go unnoticed.
Who changed whatEvery change shows who made it and when.Hard to tell who changed what, or when.
Who sees whatEach person sees only the part they need.Whoever has the file sees everything in it.

Which one fits you?

Move to your own system if

  • Several people update the same sheets and the copies no longer match.
  • Orders, bookings or jobs arrive on WhatsApp and get typed into Excel by hand.
  • You only find the mistakes at the end of the month.
  • You want today's numbers on your phone without asking anyone.
  • Each person should see only their part, not the whole business.

Keep Excel if

  • One or two people use the file and it rarely breaks.
  • You mostly do one-off calculations, plans or lists.
  • The data is small and changes slowly.
  • Your accountant needs their standard spreadsheets.
  • You are still working out how you want to run things. Excel is a fine place to do that.

Use both together

Your own system can still give you Excel files, so your accountant and anyone who likes spreadsheets keeps them. The difference is that Excel becomes a copy you take out when you need it, not the place your business lives.

Questions people ask

Will I lose the data in my Excel sheets?

No. I move your existing data across when we go live, so nobody retypes anything.

Will my team find it hard to learn?

It is built around the steps they already follow, and I train your team until they are comfortable.

Can I start with one part, like orders?

Yes. Your first working version is ready in 7 days, and bigger additions get their own fixed price before I start.

Can I send you my sheets first?

Yes. Send them on WhatsApp, and after a short free call you get a plan for your system and a fixed price within 24 hours.

Not sure which one fits? Ask me.

Step one is a free call. I will tell you honestly if the other option is the better one for you.
